Simplify Childcare Enrollment and Family Records

Every enrolled child has one record — profile, family contacts, classroom placement, status, and documents — and every part of Caredence reads from it, so nothing has to be re-entered.

    What is childcare enrollment software?

Childcare enrollment software is the system of record for the children a program serves and the families attached to them. It stores each child's profile, enrollment status, classroom placement, emergency and medical information, and supporting documents, and it shows how enrolled children compare to classroom capacity. It replaces the paper enrollment file and the spreadsheet that tries to summarize it.

Enrollment is a record problem before it is a marketing problem

Centers usually think about enrollment as filling seats. In daily operation, the harder part is what happens after a family says yes: the same information gets copied into a classroom roster, a billing sheet, an emergency contact binder, and a phone list, and each copy starts aging immediately.

The cost shows up at the worst moments — an emergency contact that is two phone numbers out of date, an allergy noted in the office but not in the room, or a child who is technically enrolled in two classrooms because a move was recorded in one place.

Caredence keeps one child record and one family record. Enrollment, classroom placement, attendance, billing, and the parent's own view all read from it, so an update in one place is an update everywhere.

Child profiles as the enrollment record

Each child profile holds first and last name, date of birth, gender, address, enrollment status, and their classroom and location placement. Status distinguishes children who are currently enrolled from those who are not.

Because the profile drives rosters and attendance, an enrolled child appears where staff expect them without a second entry step.

    Family and emergency contacts

Both parents or guardians can be recorded with names, emails, and phone numbers, plus a separate emergency contact with name, phone, and relationship to the child.

Parent accounts link to the children they are responsible for, so families see their own child's information in the parent portal and receive invoices and messages at the addresses on file.

    Classroom placement

Children are placed in a classroom, and classrooms carry their own capacity and age range in months, which makes placement a decision you can check rather than guess.

Moving a child to another room is a single change that updates rosters, attendance screens, and the family's view together.

    Capacity visibility

Because each classroom has a defined capacity and a current roster, you can see how full each room is before promising a start date to a family.

That turns "do we have space in the toddler room in September?" into a question you answer from the system instead of from memory.

    Enrollment documents

Signed agreements, health forms, and other paperwork can be uploaded to the child's file and kept with the rest of their record.

Allergies and medical notes live on the profile itself, so the information travels with the child rather than staying in the office.

    Enrollment reporting

Enrollment reporting sits alongside attendance and financial reporting, so you can review your enrolled population using the same records that run the rest of the center.

There is no separate enrollment spreadsheet to reconcile at the end of the month.

From new family to first day

    • A family accepts a spot; you create the child profile with date of birth, contacts, allergies, and medical notes.
    • You place the child in a classroom, checking the room's capacity and age range first.
    • Enrollment paperwork is uploaded to the child's file so the record is complete in one location.
    • A tuition plan is set for the child, and invoicing follows from the same record.
    • On day one the child is already on the classroom roster and attendance screen — no re-entry required.

    Childcare enrollment software FAQs

What does Caredence store for each enrolled child?
Name, date of birth, gender, address, enrollment status, classroom and location placement, allergies and medical notes, emergency contact details, parent or guardian contacts, and uploaded documents.
Does Caredence offer online enrollment forms for families?
No. Enrollment records are created and maintained by center staff, and supporting paperwork is uploaded to the child's file. Caredence does not include an online application form builder or digital signature workflow.
Can I see whether a classroom has space?
Yes. Classrooms carry a capacity and an age range, and their current roster shows how that capacity is being used before you commit a start date.
    Does Caredence manage a waitlist?
Caredence does not include automated waitlist management. Programs typically track prospective families separately and create the child record when the family enrolls.
Do parents get access once a child is enrolled?
Yes. Parent accounts link to their children, and families sign in to the parent portal from the Caredence app or a browser to see their child's information, messages, and invoices.
Can I move a child between classrooms after enrollment?
Yes. Updating the classroom assignment updates rosters, attendance, and the family's view at the same time.
