    Simple Home Daycare Management Software

Family childcare providers do not need an enterprise system. Caredence gives you the few things that actually take up your evenings — attendance, tuition invoices, parent updates, and clean records — in one place you can run from your phone.

    What is home daycare software?

Home daycare software is a small-scale childcare management tool for family childcare providers who care for children in their own home. It records attendance, tracks tuition invoices and payments, stores child and emergency contact records, and shares daily updates with families — the paperwork side of the job, without an office.

Made for one provider, not a corporate center

In a home program, you are the teacher, the director, and the bookkeeper. Nobody is going to run the invoices while you serve lunch. Software only helps if it takes less time than the notebook it replaces.

The realistic problems are small and constant: remembering exactly what time a child arrived, tracking a payment without an awkward conversation, finding payment history when a parent asks, and answering "how was she today?" without writing the same message six times.

Caredence handles those without asking you to configure a system built for a 120-child center. You add your families, set what each one pays, and use the parts you need. Everything else stays out of the way.

Attendance you can record in seconds

Record arrival and departure for each child as the day happens, from your phone. The timestamps are stored, so the record is what actually occurred rather than what you remember at 7pm.

Attendance history is available by child and by date range, which is what you need when a parent questions a bill or a reimbursement program asks for documentation.

    Tuition tracking without a spreadsheet

Set what each family pays and generate invoices on a schedule instead of writing them one by one. Families can pay online, and payments post against the invoice so you always know who is current.

The balance you see and the balance the parent sees come from the same record, which removes most of the friction from payment conversations.

    Payment history parents can review

Every payment is recorded against the child with an amount and a date, so a parent asking for proof of childcare payments gets a real record rather than a reconstruction from your bank statements.

Payment history stays attached to the family for as long as you keep the record, which makes end-of-year requests routine instead of a project.

    Daily updates and messaging

Send a short update or a photo to a family from your phone during quiet time. Parents get it in the Caredence parent portal — from the App Store, Google Play, or a browser — with a push notification.

Messages are per family, so you are not managing a group chat where everyone can see everyone else's business.

Child and emergency records in one file

Each child has a profile with date of birth, allergies and medical notes, emergency contacts, and both parents' contact details. Documents like signed agreements or immunization paperwork can be uploaded to the same file.

When a licensor visits or a substitute steps in, the information is findable rather than in a drawer.

Set up after onboarding and activation

Apply for founding-center access. Applying does not guarantee acceptance. If approved, we’ll arrange a brief onboarding session and activate your account. After activation, add your children and their parents, set tuition, and begin using Caredence. Your 24 months of free access start at account activation. You do not have to use features designed for multi-classroom centers.

If your program grows into a larger operation later, the same account supports classrooms and additional staff.

What a normal day looks like

    • Children arrive; you tap each one in as they come through the door.
    • During quiet time, you send a photo and a two-line update to each family.
    • At pickup, departures are recorded, and the day's attendance is finished without a sign-in sheet.
    • On the 1st, tuition invoices go out on their schedule and online payments post themselves.
    • In April, a parent asks for last year's payment record and you pull it from their child's payment history.

    Home daycare software FAQs

Is Caredence suitable for a home daycare?
Yes. A home program can use Caredence for attendance, tuition invoicing and payments, parent messaging, and child records without setting up classrooms or additional staff accounts.
Can home daycare providers show parents payment history?
Yes. Payments are recorded against the child with an amount and date, and the payment history for a family is available whenever a parent needs to review what they paid. Parents get a receipt emailed after each online card or autopay payment, and can download a receipt for any paid invoice from Payment History in the parent portal.
    Can I track attendance digitally?
Yes. You record arrival and departure per child from your phone, and the timestamped history is available by child and date range.
    Do parents need an app?
Caredence is available on the Apple App Store and Google Play, and also works in any modern browser. Parents see updates, messages, and invoices.
What if I only care for a handful of children?
That is a normal use of Caredence. You add only the families you serve, and the features designed for larger centers simply stay unused.
Can I grow into a larger program later?
Yes. The same account supports classrooms, additional staff members, and multiple locations if your program expands.
